Metal Components Arrived? Don't Just Count Them — a 6-Point On-Site Acceptance Checklist
Stainless steel railings, decorative grilles, access covers, acoustic enclosure panels — the truck arrives on schedule and owners and general contractors relax at the moment of signature. But anyone who has run projects knows: rework, disputes and claims usually begin exactly at that signature. No matter how well components were inspected at the factory, if the receiving check is weak, every problem is simply pushed forward into installation and settlement.

Checklist 1 — Packaging & Surface First, Not Hoisting
Thin stainless sheets and polished parts suffer most from transport impacts. Proper shipping means timber-frame fixing, corner protectors, and film/wrap isolation for surfaces. Walk around the truck and film first, then check:
- Frames intact; no visible deformation (especially long members and grille modules)
- Surface film unbroken; no scratches, dents or press marks (a scratch on a polished face is very hard to repair later)
- If damage is found: take photos, mark the delivery note as condition-pending, and claim under the contract — never sign "received in good order"
Checklist 2 — Do the Material Certificate and Heat Number Match?
This is the most important sheet on site. The grade and heat number on the Material Test Certificate (MTC/COA) must match the tags on the components and the packing list exactly. The classic trap in stainless projects: the contract says 316, the delivery is 304 — almost impossible to tell apart by eye.
Practical advice: verify with a PMI spectrometer at 2-3 points on posts and panels. Without a spectrometer, use 316 reagent for a fast screen (reagent is a screening aid only — keep the spectral report as the official record). For galvanized parts, check coating uniformity and bare spots.
Checklist 3 — Dimension Sampling: Full-Check Criticals, Sample 5%+ of the Rest
"It doesn't fit on site" is nine times out of ten a dimension problem: post spacing, bolt holes, module diagonals, embed positions. Measure while unpacking — far cheaper than discovering it during installation.

Best practice: do a trial assembly of the first piece on site before letting the full batch through — more reliable than any table.
Checklist 4 — Coating Color: Same Batch, Same Heat, Check in Natural Light
The hidden problem with coated parts is batch color mismatch. "The same color" from different spray batches can shift several shades in sunlight. Key points:
- Confirm shipment is from a single batch / single heat; if delivered in multiple lots, compare panels side by side before installation
- Judge color in natural light, not under artificial lighting
- For PVDF parts, ask for a coating thickness gauge check (outdoor spec usually starts at ≥40 μm; confirm per drawing); point out scratches, runs and bubbles immediately
Checklist 5 — Count Fasteners Item by Item: the Worst Case Is "Panels Here, Screws Missing"
Site stoppages rarely come from big parts — they come from small ones: stainless bolts, flat and spring washers, anchor bolts, gaskets, expansion anchors. Tick every line of the packing list (BOM), don't just count the big pieces. Register shortages on the spot and agree a replacement lead time so installation crews never wait for screws.
Checklist 6 — The 4-Part Document Pack: Missing One Means Don't Sign
Too many projects only look for documents at settlement, audit or warranty time — when the supplier is hard to reach. Collect and file these on arrival:
- Material Test Certificate (grade/heat matching the physical parts)
- Test reports (salt spray, coating thickness, weld inspection as contracted)
- Shop drawings and node details (detailed version with installation dimensions)
- Warranty certificate / after-sales terms
Remember it in one line: within 48 hours of arrival — inspect surfaces once, test material at three points, measure a batch of dimensions, count the hardware, collect the four documents. That keeps 90% of metal-fabrication delivery disputes off your desk.
